Learners must arrange their own transportation to lessons. The organisers reserve the right to make changes to the course and dates if necessary. No credit or refunds are issued for missed lessons. Learners agree to abide by all the SACA rules. All learners must complete the indemnity in full.
1. What is included in the price
1.1. The use of technical gear and resources for the training event. (Note: We sell the technical gear if you want your own)
1.2. Technical training for the outing;
1.3. Venue entrance and permit fees.
2. What is NOT included?
2.1. Student transport to the venue and back (unless otherwise arranged).
2.2. Meals not specified in the offer.
2.3. Other additional purchases such as momentous, drinks, personal insurance, and others.
3. Outing prices
3.1. When you make your booking, we shall ask you for a deposit of 50% of the total cost. Deposits are non-refundable, except as mentioned below, but in some cases may be transferable to another training program. The balance of the price must be paid at least one week before your training program. If the balance is not paid on time, we shall cancel your booking and retain your deposit.
3.2. We shall not change the price of your booking once we have accepted your booking.
4. Cancellation by you
4.1. If you or a member of your group needs to cancel your booking, you must tell us by email or in writing. We will not accept a cancellation by telephone alone. Cancellation incurs costs for us. Costs vary considerably and are not always precisely identifiable.
We therefore charge a rounded cancellation fee as follows:
i. more than two weeks (14 days) before commencement: 10% of total cost, plus any non-refundable costs to SAOA such as flights, permits and deposits paid
ii. between 4 and 6 days before commencement: 30% of the total cost, plus any non-refundable costs to SAOA such as flights, permits and deposits paid
iii. 3 days or fewer before commencement: No refund plus any non-refundable costs to SAOA such as flights, permits and deposits paid
4.2. If you or a member of your party cancels your booking due to an uncontrollable event (sickness, tragedy affecting you, flight
changes etc) affecting the event then we shall charge a cancellation fee of 20% only and not set out in the previous paragraph. Other
terms set out in this paragraph shall apply as is.
4.3. In any circumstances giving rise to cancellation, as described in 4.2 above, we will consider allowing you to transfer the money you have paid, to some other event you choose. But whether we do so is at our discretion, for which we do not have to give a reason.
4.4. In any of the above circumstances, which warrant a refund, we will return any money due to you within 14 days.
5. If we cancel your training event or make changes
5.1. We will always inform you as soon as possible about any change. If that happens you may:
5.1.1. accept the change; or
5.1.2. accept our offer of an alternative training event of a comparable standard; or
5.1.3. Cancel your booking, whereupon we will give you a full refund of all money paid.
5.2. Provided your final payment has been made we will cancel your travel arrangement only in circumstances where we have no choice but to do so.
6. Help we need from you
Your information pack will provide details about your chosen training program, but the following are contractual matters:
6.1. Most outings require reasonable physical fitness and appropriate gear. You should be prepared to walk and scramble,
sometimes on uneven or slippery surfaces. We require that you disclose anything regarding your physical and technical ability that
may prevent you from coping with the demands of the training event;
6.2. A separate screening requirement document may be required to be completed by you and accepted by us before confirmation of booking;
6.3. Please advise us of any pre-existing medical conditions (see top of this form);
6.4. Please provide your medical aid details, if any (see top of this form);
6.5. To satisfy the majority of our clients, we apply "no smoking" rules in the same way that they are applied by law in South Africa. Outdoors, smokers may smoke, provided they maintain sufficient isolation from other people while smoking.
6.6. If we facilitate medical assistance for you with your explicit or implied consent, we will provide receipts for all costs incurred. By signing this form, you agree that you (or your insurer) will reimburse us for these costs upon your return from the outing (see our indemnity form).
6.7. If at any time, it is our opinion (given by any of our staff or representative) that you are acting in a way which may cause an accident, injury, discomfort or extreme displeasure to any other member, we may exclude you from the programme for the remainder of the training event. You will understand that this extreme action will not be taken lightly but may be necessary to protect the health, safety or enjoyment of other students.
7. Privacy Policy
7.1. For the purposes of the Protection of Personal Information related to course registration, each party consents to the processing of his personal information (in manual, electronic or any other form) and relevant to this agreement. We may require you to provide us with certain personally identifiable information, including but not limited to your name, ID/passport number, phone number, email address and residential address. The personal information that we collect is used for the training event, and to contact and identify you. We will not use or share your information with anyone except as described herein unless agreed by you.
